Position: Secondary School Secretary/Registrar – High School

Primary function: Responsible for all duties and functions required to maintain an efficient school office. Responsible for maintaining all data necessary to provide accurate, concise, and permanent educational records for each student.

Major responsibilities:

  1. Perform administrative services to enroll new students and initiate necessary records.
  2. Maintain an accurate, permanent record of each student’s educational performance/accomplishments.
  3. Process all requests for student transcripts and correspondence pertaining to permanent records.
  4. Help maintain a positive school image by properly hosting all visitors and students.
  5. Assist in preparation for graduation exercises.
  6. Provide copies of transcripts and health records to seniors who request.
  7. Document teacher absences for professional development or school business.
  8. Maintain student discipline records for grades 9-12.
  9. Process all correspondence relating to suspensions, follow-ups, and expulsions.
  10. Process all telephone calls and messages.
  11. Report to and perform other school related secretarial duties as assigned by the principal.
  12. Receipt all monies received by various activity fund accounts.
  13. Prepare and maintain accurate accounting for instructional and textbook budgets.
  14. Enter all purchase orders into eFinance for grades 9-12. Maintain spreadsheet of budget expenditures for teachers and principals.
  15. E-mail daily announcements to teachers and staff.
  16. Create and distribute monthly school calendar.
  17. Prepare timecards, leave sheets, and substitute teacher worksheets for submission to Human Resources by Friday of each week.
  18. Report to and perform other school related secretarial duties as assigned by the principal or superintendent.
